PilotStay is an AI-powered automation layer for vacation rental operators. It sits between your Property Management System (PMS) and your guests, drafting replies, suggesting pricing adjustments, and managing workflows — all under your control through an outbox-first approval system.

PilotStay is built for Airbnb and Booking.com operators — from solo hosts managing a few properties to professional management companies with 100+ units. Our plans scale from Takeoff (small portfolios) to Enterprise (large PMCs).

PilotStay is currently in beta. We're onboarding a limited number of operators. You can request early access on our homepage and we'll reach out with next steps.

PilotStay UG is based in Frankfurt am Main, Germany. We operate on US-based servers while maintaining full DSGVO (GDPR) compliance, with EU data residency options available for Enterprise clients.

Never in Hybrid mode (the default). Every AI-drafted reply lands in your outbox and waits for your explicit approval before it's sent. In Auto mode, Guardian rules determine what can be sent automatically — but you define those rules, everything is logged, and any action is reversible.

Manual: PilotStay provides analytics and insights, but takes no actions. Hybrid (recommended): AI drafts messages and pricing suggestions, everything goes to your outbox for review before it's applied. Auto: AI executes actions within strict Guardian rules you define — with full audit trail and instant rollback.

The outbox is a queue where all AI-drafted actions land before they are applied. You can review each item, edit it, approve it, or reject it. Nothing leaves PilotStay without passing through the outbox first (in Hybrid mode).

Yes. Every message draft and pricing suggestion in the outbox is fully editable. You can rewrite it, adjust the tone, change the price, or reject it entirely before it's applied to your PMS.

Guardian is PilotStay's security and governance layer. It wraps every AI action with configurable rules: price thresholds, frequency limits, allow/deny lists, anomaly detection, and instant rollback. Guardian works across all three modes and ensures the AI never exceeds your defined boundaries.

Yes. Guardian lets you define minimum and maximum price ranges per property. Any AI pricing suggestion outside those bounds is blocked automatically and flagged for manual review.

Every AI action is reversible. Guardian provides instant rollback — you can revert any price change or message to its previous state with one click. The full action history is preserved in the audit log.

Yes. Guardian includes anomaly detection that flags unusual patterns — sudden price spikes, rapid-fire messages, booking anomalies, or deviation from historical trends. Flagged items are automatically paused and routed for manual review.

No. PilotStay is built as a PMS-agnostic automation layer. Smoobu is our first live integration, but the architecture is modular — additional connectors for Guesty, Hostaway, Lodgify, and Cloudbeds are on the roadmap. You can also request a custom integration.

Yes. Send an email to [email protected] with your PMS name, number of units, and country. We prioritize new connectors based on demand.

Every plan has a base monthly fee plus a per-property component. For example, Takeoff is 69 € / month base + 12,99 € per property per month. This structure means costs scale with your portfolio size. See the full breakdown on our Pricing page.

No. All standard plans are month-to-month with no minimum commitment. Enterprise plans may include annual agreements with custom terms — contact our sales team for details.

During the beta phase, early access users receive an extended evaluation period. Request early access on our homepage and we'll share the current offer when we reach out.

Enterprise pricing is custom and based on your portfolio size and needs. It includes everything in Autopilot plus volume-based per-property rates, custom integrations, API access, white-label options, SLA, dedicated onboarding, and a support team. Contact [email protected] for a proposal.

Yes. PilotStay UG is a German company and fully DSGVO (GDPR) compliant. We provide data processing agreements, maintain documented subprocessor lists, and support data deletion requests. Enterprise clients can opt for EU-only data residency.

By default, PilotStay operates on US-based servers with full GDPR compliance and encryption. Enterprise clients can choose EU data residency with Frankfurt-based infrastructure.

No. Your guest data is never sold or shared with third parties. It is only used to power PilotStay's AI features within your account. Subprocessors (e.g. OpenAI for language processing) are documented and operate under strict data processing agreements.
